Privacy notice

Version 2.1.0 · Last updated 6 October 2026 · Effective 1 October 2026

This notice explains what personal information Key-Warden collects, why, and how it is handled. Key-Warden is a product of MYITANDAPPS PTY LTD (ABN 82 659 633 888), PO Box 7570, Redland Bay QLD 4165, Australia ("Key-Warden", "we", "us"). We handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). If anything is unclear, email welcometo@key-warden.com.

1. Who is responsible for your data

  • Vendors' customers. When you buy from a vendor who licenses through Key-Warden, that vendor is responsible for your personal information and is the seller of record. Key-Warden processes the licensing records on the vendor's behalf and on its instructions, keeping each vendor's data separate. The vendor's own privacy policy applies. Please contact the vendor first about your data; we will pass on requests we receive and help the vendor respond.
  • Vendors, and products sold by us directly. For vendor accounts, and for products sold directly by MYITANDAPPS PTY LTD, we are responsible for your personal information.

On request, we provide vendors with a data processing agreement covering our processing on their behalf.

2. What we collect

  • Vendor account details: name, company, business and tax details, and email, to create, secure and bill your vendor account.
  • Buyer purchase and licence records: the email address (and optional mobile number) given at checkout or claim, the product, whether it was bought, claimed free or started as a trial, subscription status, expiry, issued licence keys, devices and seats, and invoices. We use these to deliver keys, enforce seats, send reminders, honour renewals, and act on cancellations, refunds and chargebacks.
  • Customer portal: your profile, email preferences, and any erasure request you make. If you use passkeys, we store only the public key credential; the private key never leaves your device.
  • Vendor team members: name, email address and role, when a vendor invites them.
  • Vendor payment connections: the Stripe or PayPal API keys, webhook secrets and webhook settings a vendor connects, used only to run that vendor's checkout. See section 8 for how they are protected.
  • Solutions you harden with the D365 wizard: when a vendor uses the Dynamics 365 solution-hardening wizard, the exported solution is uploaded so we can obfuscate its JavaScript and HTML web resources. We process it only to produce the hardened solution we return to you, and do not retain it as part of your account data.
  • Email records: what was sent, when, delivery status, and the opt-out token behind each one-click unsubscribe link.
  • Activation records: device identifiers are stored as salted hashes, not raw values. Hashed identifiers are pseudonymised, and we treat them as personal information.
  • Billing information: processed by Stripe or PayPal. Card numbers never enter our systems.
  • Usage, security and diagnostic logs: such as IP address, time and request details, to keep the service reliable and secure and to detect misuse.
  • Messages you send us: support and contact emails.

3. What we deliberately do not collect

  • Your source code from our in-browser tools. The obfuscation preview on the website and the Protect CLI run entirely on your own machine. Nothing you paste into the preview, or build with the CLI, is uploaded to us or any third party. (The separate D365 solution-hardening wizard does upload your exported solution so we can obfuscate it — see section 2 — and we do not keep it afterwards.)
  • Private signing keys. Per-vendor signing keys are generated and held in Microsoft Azure Key Vault and are not released in plaintext. Your product embeds only the public key. See our Security notice.
  • Full card numbers. Card data is handled only by our payment providers.
  • Data for sale. We do not sell personal information, and we do not share it with advertisers or data brokers.

4. How we use information

To provide, secure and support the service; enforce the licence rules a vendor sets; deliver licence keys and transactional messages; process payments you start; meet legal, tax and accounting obligations; prevent fraud and abuse; and improve the service using aggregated or de-identified data. We do not build advertising profiles.

Service emails. We send licence keys, invoices and receipts, renewal reminders, revocation notices, team invitations and platform notices. Renewal reminders go 30 days before an annual licence lapses, 5 days before a monthly one, and on expiry. They carry the vendor's branding, a renew link and a one-click unsubscribe; licences that auto-renew or are already renewed are not reminded. You can manage categories under Messages & email preferences in the customer portal. Opt-outs are always honoured.

Direct marketing. We send product news only to vendors, and every message includes a way to opt out. Transactional messages, such as licence keys and billing notices, are not marketing.

Legal bases (GDPR and UK GDPR). Where these laws apply, we rely on:

  • contract: to provide accounts, licences, checkout, keys, invoices and the portals;
  • legal obligation: to keep financial and tax records;
  • legitimate interests: for security, fraud and abuse prevention, service reliability, renewal reminders and keeping opt-out records;
  • consent: for optional SMS key delivery and marketing to vendors, which you can withdraw at any time.

For vendors' customers, the vendor determines the legal basis, and we process on its instructions.

5. Service providers

We use a small number of providers, acting on our instructions:

  • Microsoft: Azure hosting and Key Vault key custody (Australia East region), Entra External ID sign-in at auth.key-warden.com (including passkeys), Azure API Management, and Exchange Online for transactional email.
  • Stripe and PayPal: payment processing, under their own privacy policies.
  • Twilio: SMS delivery of licence keys, where you choose it.

6. Overseas disclosure

Our own records are stored in Microsoft data centres in Australia. Stripe, PayPal, Twilio and Microsoft's sign-in and email services operate globally, so limited information such as a checkout email, mobile number or sign-in details may be processed outside Australia, including in the United States and other countries where those providers operate. We take reasonable steps under APP 8, including contractual safeguards, for those disclosures.

Personal data is hosted in Microsoft Azure (Australia East). Where personal data of individuals in the EEA or UK is processed, international transfers rely on the applicable Standard Contractual Clauses, including those incorporated in Microsoft's, Stripe's and PayPal's data protection addenda. We enter into Standard Contractual Clauses with vendors and customers where required, as part of the data processing agreement referred to in section 1.

7. Website, scripts and cookies

Pages on key-warden.com load scripts and assets from our own domain, with no third-party trackers, analytics or advertising. Checkout and payment pages run by Stripe or PayPal, and Microsoft's sign-in pages, are operated by those providers and may set their own cookies under their policies. Signing in to the dashboard sets a session cookie strictly to keep you signed in; it expires when the session ends. Open-source components are listed in our Open-source notices.

8. Security

We use encryption in transit and at rest, per-vendor data segregation, Azure Key Vault for signing keys, server-side proxying so API keys are never exposed in the browser, and access limited to people who need it.

Vendor payment credentials (Stripe and PayPal API keys and webhook secrets) are never stored in plaintext. Each credential is encrypted with AES-256-GCM using a per-vendor key derived (HKDF) from a root key held in a dedicated, isolated Azure Key Vault. The encrypted blob is stored in Azure Table Storage, one row per vendor. Because the key is bound to the vendor, a blob cannot be decrypted under another vendor's context. The raw credential is used once to encrypt it and is never logged or stored in the clear.

No system is completely secure, and we cannot guarantee that information will never be accessed without authorisation.

9. Retention

  • Financial records (invoices and subscriptions): 7 years after the subscription ends, as tax and accounting law requires. On an erasure request they are anonymised and separated from you, not deleted.
  • Logs and activity records: notification, reminder, diagnostic, trial and claim records are kept for 365 days and then deleted automatically, unless needed to investigate an incident.
  • Opt-out (suppression) list: kept indefinitely as a hashed token, so an unsubscribe is always honoured.
  • Vendor data after termination: available for export for 30 days, then deleted, except records we must keep by law.

Every data store, what it holds, how long it is kept, how erasure is handled and its legal basis are listed in our Data Retention & Erasure Register, available on request.

Erasure removes personal identifiers while keeping the de-identified records we are legally required to retain.

10. Your rights

You can view and correct your details in the customer portal, manage your email preferences there, and request erasure yourself under Account & privacy. Erasure anonymises your personal information across the platform; financial records we must keep by law are retained in de-identified form. You can also ask for a copy of your data by emailing welcometo@key-warden.com. We will respond within 30 days. We may need to verify your identity, and may decline a request where the law allows. If you are a vendor's customer, we may refer your request to the vendor.

Where the GDPR or UK GDPR applies, you also have the right to restrict or object to processing, to data portability, and to withdraw consent, and you may complain to your local data protection authority.

Complaints. Email us first and we will respond within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).

11. Data breaches

If we become aware of a data breach, we will assess it promptly. Where it is an eligible data breach under the Notifiable Data Breaches scheme, we will notify affected people and the OAIC as the law requires, and tell affected vendors without undue delay so they can meet their own obligations. Where other laws apply, we will follow their notification requirements.

12. Children

Key-Warden is a business service and is not directed at children. We do not knowingly collect personal information from children.

13. Changes

If we make material changes to this notice, we will update the date above and notify vendors by email or in the portal before they take effect.
